Mileage Gap Detection: How to Find the Business Miles You Forgot to Log
Every mileage app can record a trip. Almost none of them tell you when a trip is missing. Here is how gap detection works and why it is the difference between a log and a verified log.
Logging vs. verifying
Logging answers: what trips do I have?
Verifying answers: what trips should I have — and which are missing?
Most mileage apps only do the first. They are excellent at recording the trip you remembered to start. They are silent about the one you did not.
The five most common ways miles go missing
- The forgotten start. You pulled out of the driveway and remembered the app twelve minutes later.
- The dead phone. Battery at 2% on your longest day of the month.
- The "I'll add it later." Later never comes.
- The split trip. One drive with two stops gets logged as one leg.
- The invisible day. A whole working day with no trips recorded at all.
What gap detection actually checks
A verification layer looks at your record and asks structural questions:
- Does a trip end somewhere and the next trip start somewhere else, with no drive between them?
- Are there working days (from your own patterns or calendar) with zero miles?
- Does your odometer reading move more than your logged trips explain?
- Are there suspicious time windows — a 40-minute silence between two trips that were 30 miles apart?
Each of those is a gap. Each one is money.
What to do when you find one
Reconstructing a trip is legitimate when you do it promptly and honestly. Use the evidence you already have: calendar entries, order history, texts, receipts, your usual route. Record the date, the destination, the purpose, and a reasonable mileage figure — and note that it was reconstructed.
MileVault's Trip Rescue™ walks you through exactly that flow, so a rescued trip lands in your log with the same fields as a live one.
Why this matters at audit time
The IRS does not need your log to be perfect. It needs it to be credible, contemporaneous, and complete. A log with detected and resolved gaps is stronger than a longer log full of holes nobody looked for.
