1. Who we are
MileVault ("MileVault," "we," "us") operates the website www.themilevault.com and the MileVault mobile applications (together, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. Questions: admin@themilevault.com.
2. Information we collect
Email address. When you join our waitlist or create an account, we collect your email address to contact you about the Service.
Location data (mobile app). When you start a trip in the MileVault app, we collect precise GPS location data to record your route, distance, start point, end point, date and time. Location is collected only while a trip is actively being tracked and you have granted permission. You can revoke location permission at any time in your device settings; the app cannot record trips without it.
Trip details you enter. Business purpose, classification (business/personal), notes, and reconstructed trips you add through Trip Rescue™.
Account and device information. Account identifiers, device type, operating system version, app version, and crash diagnostics used to keep the Service working.
Payment information. Subscriptions are processed by Apple App Store or Google Play. We do not receive or store your full payment card details.
3. How we use your information
- To record, verify, and report your mileage — the core function of the Service
- To detect potential gaps in your mileage record (Drive Assurance™) and help you reconstruct trips (Trip Rescue™)
- To generate tax-ready reports at your request
- To respond to support requests (a real human replies within 24 hours)
- To send transactional emails and, if you opt in, product updates
- To maintain security, prevent abuse, and debug issues
4. What we do not do
- We do not sell your personal information or location data.
- We do not share your data with advertisers or data brokers.
- We do not track your location when you are not actively recording a trip.
5. Sharing
We share data only with service providers who process it on our behalf (cloud hosting, crash reporting, email delivery, in-app subscription management), under contracts that restrict their use of your data; when required by law; or with your explicit direction (for example, when you export a report to your tax preparer).
6. Data retention and deletion
Your trips and reports are kept for as long as your account is active so you have records for the tax years you drove. You may export or permanently delete your data at any time from within the app, from our Delete Account page (themilevault.com/delete-account), or by emailing admin@themilevault.com. Deletion completes within 30 days. Waitlist emails are deleted on request.
7. Security
Data is encrypted in transit and at rest. Access is limited to personnel who need it to operate the Service.
8. Children
The Service is not directed to children under 13 and we do not knowingly collect information from them.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, or port your data, and to object to certain processing. Email admin@themilevault.com to exercise these rights. California residents: we do not sell personal information.
10. Analytics
Our website uses Plausible Analytics, a privacy-focused tool that does not use cookies and does not collect personal data.
11. Changes
We will post any changes on this page and update the date above. Material changes will be communicated by email or in-app notice.
